Who I Am

Nicola Fraser, trading as Organised Living with Nicola, Edinburgh, is the data controller for the personal data described below, meaning I decide how and why it’s used. What Personal Data I Collect

Depending on how you interact with me, I may collect: – Contact and enquiry details, such as your name, email address, postcode, and any message you send via the website contact form, phone, text, or email. – Booking details, such as your name, email and chosen appointment time, when you book a free consultation or session via Calendly. – Client and invoicing details, including your name, address, email, phone number, and bank details needed to invoice you for services. – Session details, such as information about your home, belongings, and the areas we work on together, shared with me in the course of a session, so I can provide organising and decluttering support. – Photographs of the areas we work in (see “Photographs & Social Media” below). – Testimonials, where you agree to share these for use on the website or social media (see “Photographs & Social Media” below). – Website usage data via cookies, where you’ve given consent through the cookie banner on this site (see “Cookies” below). I do not knowingly collect any more data than I need to provide my service, respond to your enquiry, or meet my legal obligations.

Why I Collect Your Data, and My Legal Basis

I collect and use your data for the following purposes: – Responding to enquiries and booking consultations, using your name, email and postcode, based on legitimate interest and the steps needed prior to a contract. – Providing organising and decluttering services, using your name, contact details and session details, based on performance of a contract. – Invoicing and payment, using your name, address and bank details, based on performance of a contract and my legal obligation to keep tax records. – Taking before and after photos for planning and insurance purposes, based on legitimate interest. – Using photos or testimonials publicly on the website or social media, based on your consent, which I will only ever rely on with your explicit permission. – Website analytics and functionality cookies, based on the consent you give via the cookie banner.

How Long I Keep Your Data

Enquiries that don’t lead to a booking are kept for a reasonable period in case you get back in touch, then deleted. Client and invoicing records are kept for as long as required by HMRC for tax purposes, currently at least 6 years, then securely deleted. Photographs are kept securely for reference and insurance purposes, are not published without your permission, and are deleted on request unless I’m required to retain them for insurance reasons. Testimonials are kept for as long as you’re happy for them to be used, and removed at any time on request.

Who I Share Your Data With

I do not sell or share your personal data with third parties for marketing purposes. Your data may be shared with service providers who help me run my business, such as website hosting, booking software, and my email provider, only to the extent needed for them to provide that service to me. It may also be shared with my accountant, where needed for tax and bookkeeping purposes, with professional bodies or insurers where required, for example in the event of an insurance claim, or with authorities where I’m legally required to disclose information, such as HMRC. As set out in my terms and conditions, I am a member of APDO UK and follow their Code of Ethics, and I will never divulge details of your personal circumstances to anyone else other than in a fully anonymised way (e.g. “a client in Edinburgh”) for the purpose of illustrating my own services.

Photographs & Social Media

Organised Living with Nicola will take before and after pictures of each area we work in. This is for a number of reasons: for insurance purposes, to refer back to when planning for storage, and most importantly, for you to see the difference in a photograph as well as in person. These photos are only ever seen by Organised Living with Nicola and kept in secure digital files. However, if you grant permission, I may ask to use some of these images for social media and/or the website. I will never do this without prior permission. I will never tag you or use locations, names or addresses in these posts. Neither will I use any images that could compromise your privacy to the general public, for example the front of your house or images with family photographs in the background. Testimonials are welcomed for use on the website and/or social media, as they can help others to make a more informed decision about whether Organised Living with Nicola might be the right choice for them. These will only be used with your permission, and personal details will not appear.

Your Rights

Under UK GDPR, you have the right to access the personal data I hold about you, correct inaccurate or incomplete data, request deletion of your data (subject to my legal obligations, such as tax records), restrict or object to certain processing, and withdraw consent at any time where I’m relying on consent, for example for use of photos or testimonials.
